We offer endless options for both the social client and corporate client for parties of 10 to 1,000 in our flexible twenty-seven thousand square feet of stunning contemporary ballroom and state-of-the-art meeting space. The investor’s favorite cut of meat, the keynote speaker’s backstage meal, five hundred boxed lunches served at exactly noon or a creative afternoon break, Catering by DoubleTree Reading understands that perfectly executing the little details are important to our corporate clients. For us, it’s about their success at the event. In each client’s menu and in our planning, we work to recognize the purpose of our client’s events and appreciate each conference, meeting or event as an opportunity to help them move their company forward. Timelines, floor plans, audio visual, staging, menu selection and sequence of service, we are involved with our client contacts in planning the work and working the plan to ensure precise execution total guest satisfaction.
All charges are subject to a 25% taxable banquet service charge plus 6% Pennsylvania State Tax. The prevailing banquet service charge and State sales tax are subject to change. Additionally, food packaging will not be provided for take-out purposes due to licensing restrictions. Menu selections must be submitted at least four (4) weeks in advance; so that we can make appropriate staffing and product arrangements.
You must provide a detailed count of each individual entrée by noon minimum of ten (10) business days prior to the event. The client must also provide Catering by DoubleTree a way to denote which attendee ordered what entrée to the service staff. Hotel reserves the right to limit the total number of selections to two for groups of 100 guests or more contracted.
Attendance guarantees must be given by noon ten (10) business days prior to your function. Food is prepared for the guarantee and guarantees are not subject to reduction within the ten-business day period and will be charged accordingly. Increases to guaranteed numbers would be accepted upon availability. Food will be prepared and rentals will be ordered per specifications outlined in the Banquet Event Orders, approved by meeting planner(s). For events, which no guarantee is provided, the contracted expected attendance figures will be considered the guarantee. Should any food function be altered following the signing of this contract, all rental fees will be re-assessed and appropriate charges will apply.
All Payments are via check, cash, or credit card. You must sign and return a credit card authorization form, should payment be via credit card. If paying via check, Catering by DoubleTree must receive the check a minimum of 5 business days before the event to allow processing. If the check is received within five business days, the final payment must be a certified check.
*Please note that Catering by DoubleTree reserves the right to place a pre-authorization on the credit card for the anticipated event charges no earlier than five business days before the event.
**Tax exemption, if you are tax exempt, a Pennsylvania approved State exemption certificate must be provided before the function for the tax not to be charged. In addition, payment must be made from the exempt organization stated on the tax-exempt form for the exemption to be honored.
Under the terms of this signed contract, Catering by DoubleTree is reserving in the name of your organization, the food, rentals & staffing requirements described herein. In the event these reserved services are not used, Catering by DoubleTree will experience significant monetary losses.
Therefore, in the unlikely event your organization should cancel its function; the organization will pay to Catering by DoubleTree a cancellation fee; which shall consist of:
Notice of cancellation prior to the arrival date and amount
Contract signing to 366 days 10%
365 – 180 days 25%
179 – 90 days 50%
89 – 30 days 75%
29 – 0 days 100%
Cancellation charges are due and payable within 3 days after the cancellation date.
**If the Covid-19 virus should causes the Federal, State or Local Government to impose restrictions/ closures, which in turn would force a cancellation the force majeure section of the contract would come into effect which would enact the cancellation of the event without any further cancelation charges or penalties**
